Privacy Policy

How FREELANES collects, uses, and protects your information.

1. Introduction

FREELANES is a product of PRODUXS LLC, a company registered in the state of Wyoming, USA ("we," "us," or "our"). We operate the website at freelanes.co and the FREELANES mobile application (collectively, the "Service"). This Privacy Policy describes how we collect, use, store, and protect information when you use our freight logistics and tracking platform.

By accessing or using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.

2. Information We Collect

We collect the following categories of information:

Account Information

When you register, we collect:

  • Company name, business email address, and phone number
  • Account type (Broker, Shipper, Carrier, or Other)
  • Country, timezone, and language preference
  • A password for authentication

GPS and Location Data

Through the FREELANES mobile application, we collect:

  • Real-time GPS coordinates from driver mobile devices
  • Location pings transmitted approximately every 15 seconds while the app is active
  • Moving status indicators (Moving, Stationary, Sleeping, etc.)
  • GPS trail data including latitude, longitude, timestamp, and signal quality

Documents

Files uploaded through the mobile app, such as bills of lading (BOLs), proof of delivery (PODs), and photos, are stored in our cloud storage associated with specific shipments or drivers.

Messages

Text messages exchanged between dispatchers and drivers through the platform, including message content, timestamps, and read status.

Shipment and Operational Data

This includes:

  • Shipment details such as stops, routes, transit methods, commodities, and weights
  • Driver information including names, phone numbers, and driver codes
  • Asset information and vehicle details
  • Customer information for carrier accounts

Usage and Technical Data

Browser type, device information, session data, login timestamps, and billing usage data (location ping counts).

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Providing the freight tracking and logistics service
  • Enabling real-time GPS tracking between drivers and dispatchers
  • Facilitating messaging between drivers and companies
  • Operating the Load Board and Asset Board cross-company marketplaces
  • Processing billing, subscription management, and usage metering
  • Sending service-related emails such as account verification and password resets
  • Maintaining, improving, and securing the platform
  • Processing and displaying emergency SOS alerts from drivers

4. GPS and Location Data

Given the nature of our platform, GPS and location data deserves special attention:

  • GPS data is collected only through the FREELANES mobile app when the driver activates tracking
  • Location data is shared with the broker or shipper company assigned to the specific shipment track
  • For carrier-employed drivers, location data is also shared with the carrier company
  • Owner-operators' location data is shared only with the assigned broker or shipper, not with any carrier
  • GPS trail data is retained according to the subscription tier: Free plan (3 days), Essentials plan (7 days), Pro plan (14 days), after which it is permanently deleted
  • Location data is never sold to third parties
  • Companies may configure webhook endpoints or use the API to receive location events for their own systems
  • Public share links, when created, show driver location without exposing personal information such as names, phone numbers, or exact addresses

5. Data Sharing and Disclosure

We share information in the following circumstances:

Cross-Company Marketplaces

The Load Board and Asset Board are visible to all registered companies. Posted shipment details, including origin, destination, dates, rates, and transit type, are shared across companies. Company names are shown on marketplace posts.

Track-Based Sharing

When a track code is assigned to a shipment, the broker or shipper company can view the driver's location and documents associated with that track.

Customer Share Links

Companies can generate public share links that allow third parties (such as end customers) to view shipment status and location without logging in. These links do not expose driver personal information.

Webhook and API Consumers

Companies can configure outbound event delivery (location, document, and message events) to their own systems via webhooks or the REST API.

Third-Party Service Providers

We use third-party services to operate the platform (see Section 6 below).

Legal Requirements

We may disclose information if required to do so by law or if we believe in good faith that such action is necessary to comply with legal obligations, protect our rights, or ensure the safety of our users.

Our Data Commitment

We do not sell, rent, trade, or otherwise provide your data to third parties for their own purposes. We do not harvest, mine, or aggregate your data to build profiles, power other services, or create derivative products. Your data is used exclusively to operate the FREELANES platform for your benefit. We do not monetize your data in any way other than the subscription fees you pay for the Service.

6. Third-Party Services

We rely on the following third-party services to operate the platform:

Amazon Web Services (AWS)

Cloud hosting, database, and file storage services. All data is stored in AWS data centers in the United States.

Paddle

Payment processing as our Merchant of Record. Paddle is PCI DSS Level 1 certified. FREELANES does not store credit card numbers, bank account details, or other payment instrument data. All payment information is handled directly by Paddle.

Google Geocoding API

Used to resolve postal codes and addresses to geographic coordinates. Postal code and country data is sent to Google for geocoding purposes only.

7. Data Retention

GPS trail data, messages, and outbound event stream data are retained based on your subscription tier:

  • Free plan: 3 days
  • Essentials plan: 7 days
  • Pro plan: 14 days

After the retention period, data is permanently deleted by automated nightly processes. Additional retention details:

  • Account information is retained as long as the account is active
  • Document share tokens expire after 30 days
  • Load board posts are automatically removed 24 hours after the latest stop date expires
  • Billing usage records are retained for accounting purposes

8. Cookies and Local Storage

We use minimal cookies and browser storage:

  • A session cookie (JWT-based) is used for authentication and expires after 30 minutes of inactivity
  • Language preference is stored in your browser's local storage for non-authenticated pages
  • Onboarding tour completion flags are stored in local storage

We do not use third-party tracking cookies, advertising cookies, or analytics cookies. No personal data is stored in cookies or local storage beyond the session token and user interface preferences.

9. Security

We implement the following measures to protect your information:

  • All data in transit is encrypted using HTTPS/TLS
  • Database hosted on AWS RDS with managed encryption
  • Files stored in AWS S3 with server-side encryption
  • Per-company API keys for programmatic access
  • Session tokens with 30-minute idle timeout
  • Password reset tokens are cryptographically hashed with one-hour expiry and single-use enforcement
  • Multi-tenant data isolation ensures every query is scoped to your company

While we take reasonable steps to protect your data, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.

10. Payment Processing

All payment processing is handled by Paddle, our Merchant of Record. Paddle is PCI DSS Level 1 certified, the highest level of payment security certification.

  • FREELANES never receives, stores, or processes credit card numbers or bank account details
  • We store only Paddle customer identifiers, subscription identifiers, account balance, and transaction history (amounts and types)
  • Payment method management is handled entirely through Paddle's secure portal

11. Children's Privacy

FREELANES is a business-to-business freight logistics platform. The Service is not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child under 18, we will take steps to delete it promptly.

12. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your information:

  • Access: You can view your account information, shipment data, messages, and documents through the FREELANES web portal
  • Correction: You can update your account information at any time through the Account page
  • Deletion: You can request account deletion by contacting support@freelanes.co
  • Data Export: You can request a copy of your data by contacting support@freelanes.co
  • Opt-Out of Location Tracking: Drivers can stop GPS sharing at any time by closing the mobile app or disabling location permissions on their device

For residents of jurisdictions with specific privacy rights (such as GDPR or CCPA), additional rights may apply. Please contact us for details.

13. International Data

FREELANES infrastructure is hosted in the United States on Amazon Web Services. By using the Service, you consent to the transfer and processing of your data in the United States. We support English and Spanish language settings.

14. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date. Your continued use of the Service after any changes constitutes acceptance of the updated policy.
